Executive Assistant
The company is a private investment management firm driven to generate attractive and sustainable returns for professional investors and to support entrepreneurs with various financial facilities. The company raises funds to yield high returns through direct investments and lending services. We are currently looking for an Executive Assistant to join our team at 5401 Eglinton Ave W, Suite 115, Etobicoke, ON M9C 5K6.
The Executive Assistant provides high level administrative support to the CEO or other members of the Executive Team as needed.
Responsibilities:
• Overseeing & coordinating communications, including emails, phone calls, reports, and internal correspondence.
• Conducting research and creating reports on various topics based on the needs of the executive.
• Preparing various types of essential documentation, including resolutions and minutes for the minute books of the corporations.
• Preparing essential documents relating to corporate transactions including loan agreements, subscriptions, issuance of share certificates.
• Maintaining company contracts, schedules, records and filings, both physical and electronic.
• Preparation of PowerPoint Presentations, Spreadsheets, Letters and other business communications as required.
• Organizing and attending meetings as required. Print, upload and update management reports and record meeting minutes.
• Performing general administrative duties; processing invoices, photocopying, filing, ordering office supplies, etc.
• Coordinating travel arrangements for the CEO and other staff as required, including booking hotels, flights, and rental cars to avoid any travel difficulties.
• Maintaining a high degree of discretion and confidentiality.
• Greeting clients and visitors to the corporate office.
• Handling incoming telephone calls and direct appropriately.
Qualifications:
• Minimum of a post-secondary education relating to Business, Law, Accounting, Finance, Economy, or related fields.
• Exceptional organizational, written and verbal communication skills in English.
• Proficient in Microsoft Word, Excel, PowerPoint.
• Knowledge of accounting programs (QuickBooks etc.) considered as an asset.
• Experience in drafting legal contracts considered as an asset.
• High level of attention to detail.
• Excellent planning and organizational skills.
• Ability to work collaboratively as well as independently.

Schedule: 8-hour shift // Monday to Friday
